Keep out unwanted guests

  • Do not post the invite to your meeting on social media such as Facebook, Twitter, etc. Do not use Facebook messenger. Social media is not private on any level.
    Send your invite via text message or email. Your invitees can forward your invite to others who want to join.
  • There is a setting in your zoom profile @ https://www.zoom.us/ where you can create a waiting room. This allows you to control who can join. Go to “My Account” in the upper right corner. On the left side menu under “Personal”, select “Settings”, then go to “In Meeting (Advanced)”. Scroll down in the main list of settings to “Waiting Room”. Click on the switch to the right so it turns green.
  • Keep software up-to-date so that known security fixes in the Zoom software are fixed. Most Zoom software updates are addressing security issues that Zoom fixes with each release.

    • Computer software updates are posted here under the “Zoom Client for Meetings” heading near the top of the page.

If you get unwanted guests

  • You can disable participants from being able to unmute themselves. This will create more work for the moderator.
    • First, while in the meeting, select “Participants” on the bottom of your zoom screen.
    • Select “more…” from the bottom right of the new window.
    • Clear the “Allow Participants to unmute themselves”
    • Select “Mute All” in Participants window.
    • Now users have to raise their hand to speak and the moderator can unmute them one at a time.
    • A participant can raise their hand by going to “Participants” and selecting “raise hand”
    • The moderator can unmute them from his/her Participants window.
    • And lastly, kick out the unwanted guests. In the “Participants” window, select the offending guest, select more, select remove.

Keep AA anonymous

  • In this same settings screen, there are options to have guests enter with video turned off. I suggest this. Let each user decide if they want to be seen.
  • DO NOT RECORD! There is an option to record your meetings. Please don’t. Attendees also cannot record unless the administrator (you, the host) allows it, so do not allow it.

If there’s one frequent complaint I hear from my Windows-refugee friends when they switch to the Mac, it’s the behavior of that little green button in the top left.

The “zoom” button has been a part of the Mac’s operating system since the days of the classic OS, but many users are frustrated by its behavior, especially Windows users who expect it to maximize a window to fill the screen. Instead, the button performs its “zoom to fit” feature which, let’s face it, is sometimes not as useful as you might hope.

For those folks there’s the handy little utility Right Zoom. This free application from BlazingTools Software makes it so that clicking on the green zoom button will automatically maximize the window. Right Zoom offers a handful of customization options, too: for example, you can either set it up to operate in applications you specify or to work in all applications except for those on your list.

In addition, you can make it so that the zoom button’s behavior only switches to maximize while you’re holding the option key, or assign a hotkey to the button (in either its maximize or normal “zoom to fit” functions). The only downside to the program is that once it’s running, there’s no GUI, so you’ll need to kill it from Terminal or the Activity Monitor, but the instructions cover that.

Personally, I’m not a big fan of the zoom button—I find it more frustrating than useful, a rare departure for Apple in the user interface space. Look, I’ve been using a Mac since system 6.0.7 and the truth is I treat the zoom button a bit like a “Here be Dragons” inscription: I’m never quite sure what it’s going to do when I click it, so for the most part I just don’t.
